Document Storage
Unlike self storage, at Horsehay Archives you only pay for the exact amount of space you use. We are extremely flexible at the planning stage to discuss which services you require and produce a detailed cost schedule to enable you to make an informed decision.
Our document storage is a secure, modern, insulated building situated in our Shropshire base in Telford. At any time, your boxes are traceable via our tracking system.
Off site document storage offers many benefits especially to firms in high rent locations where the space could be utilised as another fee earning office.
Our standard box is 15" x 13" x 10" and holds approximately half a filing cabinet draw.
Archiving and Retrievals
Our archive store offers a very high level of security. Entrance to the site is monitored by CCTV.
Video and access to the building is electronically controlled at all times. Records are stored in a temperature controlled environment and all work from loading & transport, unloading & collation, acceptance into the store, through to retrievals and delivery is supervised.
We adapt our computerised data record and location system to suit each and every customers existing or preferred methods ensuring you or your staff have nothing unfamiliar to contend with.
Urgent Retrieval:
If a file is required urgently we will attempt to retrieve and deliver the file or box on the same day of the request.
Standard Retrieval:
If your request is not urgent you can arrange a specific date that your request will be delivered.
Collection and Collation
If required, we can comprehensively catalogue the contents of all your stored boxes. Each file can be given a unique code which can then be traced at any point of the files life-cycle. Your organisation could also receive a catalogue of all your stored material making it easier to retrieve the exact file you require, when necessary.
Business Service
The Data Protection Acts of 1984 and 1998 impose duties on businesses to ensure that all information is kept confidential or destroyed securely. We can supply your organisation with shredding bags which can be filled and, when ready, collected and securely shredded – the bag at no time is opened once you have sealed it.
If you wish to destroy a selection of your boxes in store, this can be carried out securely whilst on site. Our services help you reduce your risk for exposure by ensuring proper compliance with privacy laws and regulation.
All shredded material is pulped or recycled. After completion you receive a ‘Certificate of Destruction’ proving that your material has been shredded according to government legislation and that it has been recycled, where possible, 100%.
